Welcome to the Project Tracking System. This system is used to help Groups /Organizations maintain and track project information’s online.

1. Who can submit a Project Proposal?

Any member of an Organization/Group can submit a project proposal. While submitting a proposal the submitter needs to classify the project and select the options accordingly in the Submit Project Proposal online form.

2. How are Project Proposals classified?

Proposals are broadly classified into
    - Funded Projects (that require funding) and
    - Non-Funded Project (that does not require funding, but only requires some used items, voluntary time and help)

In addition, Funded Projects are classified into
    - Funded Project With Beneficiary and
    - Funded Project Without Beneficiary

An example of Funded Project With Beneficiary would be a Child Adoption project that has a list of children to be adopted for education / healthcare.

An example of Funded Project Without Beneficiary would be a project to improve sanitation facilities in a village or construct a home for the destitute.

3. How can I modify any details that I submitted in the Project proposal form?

Once you successfully submit your project it appears in the dropdown when you click 'Modify Existing Proposals' link. Choose the project you want to edit/update and it takes you to the Edit Project Proposal screen where you can edit and update.

4. Can everybody within my group modify the project proposal that I submitted?

No. Only you the submitter and the General Coordinator have the access permissions to change or update the proposal.

5. What happens after I submit a Project Proposal?

Once you submit a Project Proposal an email is sent to the Organization registered email address. The General coordinator then reviews the project and will get in touch with you. Based on the current requirement, scope and usefulness of the project the General Coordinator can either Reject, Defer or Approve (after the required information’s are available).

1. What are Completed Projects?

Completed Projects are those which have been carried out successfully and all the requirements have been fulfilled.

2. Who can view the Completed Projects list?

All active members of your Organization can view the Completed Projects List.

3. When is a Project said to be completed?

A project is completed when its objectives / requirements are met.
For a Funded Project With Beneficiary,

    - All the Beneficiaries must be sponsored.
    - Total Approved Amount must have been collected as sponsorships from donor members.
    - All collected amount must have been disbursed to that Project.
    - If there are excess funds unused then it must be transferred to the Organization Reserve Fund Pool.
    - The Project must also have Project Progress details entered and the end progress must be 100%.

For a Funded Project Without Beneficiary,

    - Total Approved Amount must have been collected as sponsorships from donor members.
    - All collected amount must have been disbursed to that Project.
    - If there are excess funds unused then it must be transferred to the Organization Reserve Fund Pool.
    - The Project must also have Project Progress details entered and the end progress must be 100%.

After all these criteria are met the General Coordinator/Project Coordinator hits the Complete button in the Project Progress screen.

For Non-Funded Project,
    - The stated goal of the project must be achieved.
    - The Project must also have Project Progress details entered and the end progress must be 100%.

4. Can completed projects be deleted?

No. All completed projects remain in the archive.

1. What are OnGoing Projects?

OnGoing Projects are those which have been reviewed by the General Coordinator's of an Organization and are open to the group members for sponsorships and volunteer help. These Projects appear under the Projects --> OnGoing Projects - Donate menu.

2. How can I view the complete details of an OnGoing project?

You can access it from Projects -> OnGoing Projects - Donate menu. There is a list of Approved Projects displayed (if any). Click on the Project Name link and it takes you to the Project details page.

    - Project Location / address
    - Project Cost
    - Sponsorship details like Where and who to send the Check.
    - Approved Cost of the Project, Amount Collected, Amount Required details
    - And provisions to submit your sponsorship amount.

3. How will I know if a Project is a Funded Project or a Non-Funded project?

For a Non-Funded Project, the Sponsorship details section indicates that it is a ‘Non-Funded Project’.

4. How will I know if a Project has Beneficiaries or not?

When a Select Your Beneficiary button appears in the Sponsorship Form of the OnGoing Project, then it has Beneficiaries associated with it.

If you don’t find a Select Your Beneficiary button then this project does not have any beneficiaries.

3. What Should I do to sponsor/donate for a particular project?

Go to the OnGoing Projects, click on the project name link, it takes you to the detailed section. At the bottom of the screen, you can see 'We need your Kind support' section.

For Funded Project With Beneficiary, Follow these steps
    - Select 'Yes' for 'If you would like to support this project?'
    - Select ‘Financial’. Financial is the only option for this classification.
    - Click on the 'Select your Beneficiary' button. It opens up a new pop-up window with a list of Beneficiaries that are awaiting sponsorships.
    - Select the Beneficiaries you want to sponsor by checking the check box and enter the amount you wish to donate for that particular beneficiary.
    - Select the Currency Type you are planning to make this payment (INR, USD, CAN, UKP, SGD).
    - Hit the Sponsor button, an alert message pops-up with the total amount and asks for your confirmation. It converts the Rupee total to the foreign currency equivalent you have chosen. If everything is fine, hit the OK button. The window will close and will fill the 'Amount you wish to contribute' text in the main window with the currency type.
    - This is the Currency amount you need to write the check for and send it to the address mentioned in the Sponsorship details section.
    - There is an optional remarks text box.
    - Then Hit the Submit button, this completes your transaction. The details of this transaction are available in the MyAccounts link of the Members Login (Home Page, Left Panel after you log-on)

For Funded Project Without Beneficiary, Follow these steps
    - Select 'Yes' for 'If you would like to support this project?'
    - You can select 'Financial' if you want to make a financial sponsorship or you can select 'Volunteer' if you want to be a volunteer. You can also select both.
    - Select the Currency Type you are planning to make this payment (INR, USD, CAN, UKP, SGD) in the dropdown.
    - Enter the sponsorship amount that you are planning to donate (for Financial).
    - Enter the optional remarks and hit the Submit button.

4. Can I be a Volunteer alone for a project without making financial help?

Yes. You can select the Volunteer option and enter the type of volunteer help in the Remarks textbox and submit. The General Coordinator will contact you if he requires your help.

5. What is meant by 'Project Collection Point Reached' message?

It means the full cost of the project (Approved Project) has been sponsored or collected. There is no requirement for additional financial sponsorship for this project.

6. Where should I send my sponsorship amount Check?

Please refer to the Sponsorship Details section. It gives information on which name the check should be Payable and sent to which address. It also has a memo, which should be written on the Check.

7. What if I did a mistake and would like to withdraw my commitment to sponsor after I submitted?

In such case you may have to send a request to delete your sponsorship commitment to the General Coordinator.

8. When should I send my check after I submitted my commitment online?

The check should be mailed as soon as possible so that help can be rendered faster.

9. What happens after I send my check?

Upon receipt of your check and encashing the same, the General Coordinator changes the payment status of this transaction with any remarks he might want to add. The member can check the status of his sponsorship at the MyAccounts link.

10. How are the Currency Conversion / Exchange rates taken into account?

All projects are evaluated only in Indian Rupees (INR) as projects are implemented only in India. However sponsorships are welcome in any of these foreign currency checks (USD, CAN, UKP, SGD).

When a member selects a different currency other than INR and submits it, the system automatically converts the amount into INR based on the current days exchange rate. The ServeIndia.Org Webmaster updates this exchange rate.

However after the foreign currency check is encashed, the exact final Rupees is updated by the Organization General Coordinator in the Funds link of the Organization Login.

1. What are Projects in Review ?

Review Projects are those which are new proposals submitted by members. These projects are displayed as it is submitted by a member without any review. The primary intention is to allow the other members to review it and submit any suggestions.

2. How can I provide suggestions/feedback for the Review Projects?

Use the 'Send Your Views' form to convey what your views are on the concerned proposal to the General Coordinator. The General Coordinator will consider such suggestions while making a final decision.

1. What is meant by Organization Reserve Pool Fund?

Any unused excess funds collected for a particular project, which does not require any further money can be transferred to the Organization Reserve Pool Fund. This fund acts as a reserve and can be utilized by other projects, which lack adequate funding.

2. Who has the authority to transfer funds to or from the Pool?

Organization General Coordinator's have the authority to transfer funds to or from the pool. The Project Coordinator can only transfer excess funds of his project to the Pool.
Decision to transfer funds to or from the pool is a collective decision by the Organization Coordinators.

1. Who can access the Projects -> Project Admin section?

Only the Project Coordinator of the respective projects and the General Coordinator of the Organization have access to the Project Admin.

2. Who assigns the role of a Project Coordinator?

The General Coordinator assigns the Project Coordinator role. However, if you had chosen to be a Project coordinator at the time you submitted the project proposal, you may have access to your proposal alone through the Project Admin section.

3. What are the access permissions for a Project Coordinator in the Project Admin Section?

When you choose Projects -> Project Admin, you get a criteria dropdown that lets you choose the project listing based on status, date, location and approved cost. Once you select the required criteria and hit Go you can see a list of projects for which you are the Project Coordinator. You see only the projects for which you are assigned the Project Coordinator role. If you don’t see any projects listed than that means you don’t have the Project Coordinator role for any of the projects.

The access permissions for a Project Coordinator for Projects he/she is assigned,

    - Can View, Modify the project information’s
    - Can Enter Progress Details
    - Can transfer excess funds to the Organization Reserve Fund Pool
    - Can change the Project Status to Complete

A Project Coordinator does not have access to the Approve button. Only a General Coordinator can Approve a project.

4. What functionality does the Progress button do?

General Coordinators and the respective Project Coordinators have access to Enter Project Progress details. Project Progress details are the periodic percentage completion and funds disbursed information along with some remarks on what is completed. The Coordinators are expected to use their judgment when they select the percentage completion. The Progress information thus entered is shown in a Bar Graph format for the other members in the OnGoing Projects section.

5. What functionality does an Approve button do in a Project?

After a new Project is reviewed the General Coordinator of the organization can Approve a project. The General Coordinator can

    - Assign additional Project Coordinators for this project.
    - Can finalize the Project Cost (Approved Cost)
    - Can enter the Check Payable To, Address information which will be displayed in the Sponsorship details section of the OnGoing Projects.
